Executive Assistant

Job Description

We are seeking a dynamic and experienced Executive Assistant to provide high-level administrative support to our senior partners or executives at our law firm. The Executive Assistant plays a crucial role in managing day-to-day operations, facilitating communication, and ensuring efficiency in executive activities. This position requires exceptional organizational skills, discretion, and the ability to handle confidential information with professionalism.

Key Responsibilities:

  1. Calendar and Schedule Management:
  • Manage complex calendars and schedule appointments, meetings, and conference calls for senior partners or executives.
  • Coordinate travel arrangements, accommodations, and itineraries as needed.
Communication and Correspondence:
  • Serve as a primary point of contact for internal and external communications, including screening calls, emails, and visitors.
  • Draft and edit correspondence, reports, and presentations on behalf of senior partners or executives.
Meeting Coordination and Support:
  • Prepare meeting agendas, materials, and presentations for executive meetings.
  • Attend meetings and distribute meeting notes or action items as required.
Project Coordination:
  • Assist in managing and coordinating special projects and initiatives as assigned by senior partners or executives.
  • Monitor project timelines, deliverables, and follow up on action items to ensure deadlines are met.
Administrative Support:
  • Perform general administrative tasks such as filing, scanning, copying, and organizing documents.
  • Handle confidential and sensitive information with discretion and maintain strict confidentiality.
Client and Stakeholder Relations:
  • Build and maintain positive relationships with clients, stakeholders, and external contacts.
  • Coordinate client meetings, events, and hospitality arrangements as needed.

 

 

Qualifications:

  1. Education:
  • Bachelor’s degree in business administration, Legal Studies, or a related field preferred.
Experience:
  • Proven experience as an executive assistant or similar role, preferably in a legal or professional services environment.
  • Familiarity with legal terminology, procedures, and practices is advantageous.
Skills:
  • Excellent organizational and time management skills, with the ability to prioritize tasks and work efficiently under pressure.
  • Strong interpersonal and communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
