Mailing Operator
Department: Production / Mailing
Reports To: Mailing Supervisor / Production Manager
Position Summary
The Mailing Equipment Operator is responsible for setting up, operating, and maintaining mailing equipment to process printed materials for delivery. This includes tasks such as folding, inserting, addressing, tabbing, and sorting in preparation for postal processing. This role is key to ensuring mail pieces are prepared accurately, efficiently, and in accordance with USPS regulations and customer requirements.

Key Responsibilities
· Set up and operate mailing equipment such as inserters, tabbers, inkjet addressers, and postage meters.
· Read and interpret job tickets to determine job specifications and mailing requirements.
· Sort and prepare mail in accordance with USPS regulations and ensure proper postage is applied.
· Perform quality control checks throughout production to verify accuracy and completeness of mailings.
· Monitor equipment for performance issues and troubleshoot or report problems promptly.
· Maintain accurate counts and documentation of completed work and postage usage.
· Keep work area clean, organized, and compliant with safety standards.
· Assist with packaging, palletizing, and preparing jobs for delivery or postal drop-off.
· Work closely with production, bindery, and shipping teams to ensure timely job completion.
· Follow all company policies and procedures, especially those related to mail handling and postal compliance.
Job Requirements
· Experience operating mailing equipment (e.g., inserters, tabbers, inkjet systems, postage meters).
· Familiarity with USPS regulations and postal processing procedures.
· Strong attention to detail and ability to perform quality checks.
· Basic mechanical aptitude and problem-solving skills.
· Ability to read and interpret work orders and production instructions.
· Must be able to lift up to 50 lbs and work on your feet for extended periods.
· Dependable, punctual, and able to manage time effectively in a deadline-driven environment.
Performance Expectations
· Maintain consistent throughput and meet daily mailing production targets.
· Ensure compliance with postal requirements to avoid delays or surcharges.
· Minimize machine downtime through proper setup, monitoring, and maintenance.
· Maintain accurate records and documentation for each mailing job.
· Communicate effectively with team members and supervisors to coordinate workflow and resolve issues.
